Walker Area Food Shelf Is Hiring an Executive Director

POSITION TITLE: Executive Director

POSITION PROFILE: To manage and supervise operations of the Walker Area Food Shelf (WAFS). Sustain strong and supportive relationships with donors, the media, religious and business communities, the public, the food bank network, government at all levels, and other human service agencies.

Lead community outreach initiatives to increase awareness of and foster support for the organizations mission.

FOOD MANAGEMENT AND DISTRIBUTION:

  • Supervise food distribution during hours the Food Shelf is open to the public.
  • Monitor equipment functioning to ensure safe storage of food.
  • Monitor inventory of perishable and nonperishable food to ensure well-balanced supply of food available each week.
  • Determine what frozen food items are to be offered each week and prepare printed freezer list.
  • Order perishable and nonperishable food from Second Harvest Northland Food Bank twice a month and/or other sources as needed.
  • Determine what products are needed and available from Second Harvest Northland Food Bank.
  • Place food order for scheduled delivery.
  • Arrange for volunteers to help unload and stock food. Inventory items delivered to verify accuracy of order.
  • Receive, or designate persons to receive/pickup food donations from food drives and donation sites.
  • Source foods from other places if supply (or cost) from Second Harvest Northland is unsuitable.
  • Weigh, record and track all food and product donations. Check quality and expiration dates of all donated food. Dispose of food items deemed inappropriate or unsafe for distribution to the public. Ensure garbage is emptied and recycling is taken to local recycling area after food distribution each Tuesday and as needed during the week.
  • Organize and clean storeroom and shelving as needed.
  • Provide oversight of cleaning service
  • Be available, or designate persons to be available, to open the WAFS building in response to emergency food requests (approximately 1x/month)
  • Oversee emergency food bag distribution at local sites (currently local churches and BICAP)

VOLUNTEER MANAGEMENT:

  • Supervise training of volunteers in the procedures used at the WAFS and to specific volunteer job functions.
  • Assign volunteers to weekly tasks as appropriate (picking up food from sources, churches, unloading delivery trucks, stocking shelves, sorting produce, cleaning, etc.)
  • Maximize use of volunteers through ongoing recruiting of volunteers for specific duties
  • Ensure completion of annual Civil Rights training for all volunteers.
  • Maintain record of volunteer hours, monthly and yearly totals for annual report and taxes.

CLERICAL:

  • Coordinate data collection and confidentiality of client information.
  • Maintain records of client visits.
  • Ensure annual TEFAP form completion by clients.
  • Maintain TEFAP records for 7 years.
  • Enter statistics into computer, prepare monthly statistics report for Board and submit to Second Harvest Northland Food Bank monthly.
  • Offer to enroll eligible clients in the Commodity Supplemental Food Program (CSFP) program.
  • Maintain records of CSFP client enrollment and submit CSFP paperwork to Second Harvest Northland Food Bank monthly.
  • Complete annual contracts, as needed.
  • Meet with Second Harvest North Central Food Bank director (as requested) for yearly monitoring visit of the WAFS.
  • Compliance and monitoring for safety and operating requirements as put forth in all contracts WAFS enters with outside agencies.
  • Check mail as needed.
  • Communicate with WAFS Board of Directors when responding to correspondence as indicated.
  • Update the WAFS policy and procedure manual as needed to strive for best practices and continuous quality improvement.
  • FUNDRAISING: Continually monitor for grant opportunities and apply for grants appropriate to the WAFS.
  • Foster relationships with local/regional businesses for potential financial partnerships.
  • Plan and manage ongoing fundraising activities.
  • Work to identify free or low cost food sources.

MARKETING:

  • Maintain social media presence, including website and Facebook sites, with WAFS updates.
  • Work to extend relationships and partnerships with other local nonprofits to leverage the capabilities of the WAFS.
  • Write articles for regional newspapers and local churches to keep the public informed of the operations at the Food Shelf.
  • Speak with groups, organizations, businesses, and churches about WAFS operations, needs and updates.

BOARD RELATIONS:

  • Build informative, trusting and collaborative relationships with all board members.
  • Prepare for and attend board meetings.
  • Prepare and distribute written agenda to all board members prior to meeting
  • Prepare and provide food distribution statistics
  • Prepare and provide Executive Director’s report for the WAFS Board of Director meetings.
  • Collaborate with the Board members regarding fundraising, marketing, budgeting, strategic planning.
  • Work closely with the board of directors to ensure fiscal success of the Food Shelf.
  • Provide training to key individuals/volunteers such that in the event of Executive Director’s absence, adequate backup exists to manage in the short term.

OTHER:

Build automation into operational processes, volunteer materials, lists and assignments to provide consistency, repeatability and standardization.

Participate in on-going education relevant to food shelf management, hunger related issues, governmental programs and grant opportunities that impact food sourcing and food distribution to clients.

PHYSICAL JOB REQUIREMENTS:

To fulfill job requirements, employee must be able to perform key physical tasks for extended periods of time.

When supporting, lifting or transferring, proper body mechanics and safety measures must be used.

In a typical eight- hour day, employee will:

  • Stand/walk up to six hours a day
  • Sit up to four hours a day
  • Kneel, bend, lift and reach
